Parents' association AGM: a ready-to-use agenda

A simple AGM agenda for a primary school parents' association, with what to prepare, how elections usually work and what to send out afterwards.

Most parents' associations hold their annual general meeting (AGM) early in the school year, once families have settled in. It's where the outgoing committee reports back, the accounts are presented and next year's committee is chosen. Your association's constitution sets the exact rules, so check it first: notice period, quorum and how officers are elected all vary.

Before the meeting

The agenda

Copy this and change it to suit your association.

  1. Welcome and apologies. The chair opens the meeting and notes apologies.
  2. Minutes of last year's AGM. Taken as read if they were circulated, then proposed and seconded.
  3. Matters arising from those minutes.
  4. Chair's report on the year.
  5. Treasurer's report and presentation of the accounts. Questions from the floor, then the accounts are proposed and seconded.
  6. Principal's update, if the principal is attending.
  7. Changes to the constitution, if any were notified in advance.
  8. Outgoing committee stands down. Thanks to everyone who's leaving.
  9. Election of the new committee and officers: chair, secretary, treasurer and any other roles your constitution lists. Each nomination needs a proposer and seconder.
  10. Plans for the year ahead: dates for fundraisers and events, and a call for helpers.
  11. Any other business.
  12. Close, and the date of the first committee meeting.
